Executive Assistant, Taiwan (f/m/d)
Your responsibilities:
Administration:
Acting as one of the back offices supporting team, experience in facilitating administration works is key.
Summarize complex reports and provide clear, concise updates to the CEO.
Manage and maintain the CEO's schedule, appointments, and travel arrangements.
Provide general administrative support including but not limited to: managing correspondence, answering calls, and maintaining office supplies.
Coordinate internal and external meetings, including preparing meeting agendas, taking minutes, and following up on action items.
Handle confidential information with discretion and maintain the security of the CEO’s records and files.
Assist in the planning and execution of company events and projects.
Providing administrative assistance, such as writing and editing e-mails, drafting memos, and preparing communications on the executive’s behalf
Maintaining comprehensive and accurate records
Organizing meetings, including scheduling, sending reminders, and organizing catering when necessary
Managing the executive’s calendar, including making appointments and prioritizing the most sensitive matters
Finance Support:
Performing minor accounting duties
Support Finance function, i.e., arranging payments, coordinate with local, outsourced accounting and tax advisors and liaise with them to generate monthly financial reporting for all Taiwanese entities.
Monitor cashflows in coordination with the Singapore Finance team
Managing HR & Governance, for the Taiwan office by coordination with the payroll service provider for monthly payroll and local tax filings
Your qualifications
Bachelor's degree or equivalent experience.
Proven experience as an Executive Assistant or in a similar administrative role.
Finance or taxation experience would be a plus
Strong command of the English language, both written and verbal.
Proficiency in MS Office (Excel, Word, PowerPoint).
Exceptional organizational skills and attention to detail.
Ability to multitask and prioritize work under pressure.
Excellent interpersonal skills, a team player attitude and communication skills (written and verbal) – comfortable asserting oneself with senior management.
Ability to maintain confidentiality of sensitive information.
Willingness to learn and adapt to new challenges.
Resolve issues independently and proactively.
